Jane is an attorney at law. Her work is primarily around five categories:
- Meeting with Clients
- Court Appearances
- Phone Calls
- Emails, Letters, Documents & Briefs
In order to maximize her productivity, she has created two Time Maps in SkedPal to schedule her tasks in Research and Writing. Let’s see her first Time Map for Research.
You can see in her ‘Research’ Time Map, that she prefers to work on research related tasks such as case studies for about two hours a day. She also prefers to schedule her research work from 2 to 4PM daily.
After a while, Jane realizes that shifting priorities or unavoidable urgencies prevent her to dedicate time to research from 2-4PM on a regular basis. So, she tweaks her
research Time Map as shown. You can see that she has used the colors yellow and red to indicate alternative times. So, by using an extra yellow hour from 4-5 PM, she’s telling SkedPal that I prefer not to work on Research from 4-5PM, but if my commitments and due dates require me to do so, use this extra hour. She has also marked an additional 4 hours on Fridays in red color. By doing so, she’s telling SkedPal that if I did not manage to get my Research work done during the preferred green hours, or less preferred yellow hours, you can resort to the red hours on Fridays to schedule my Research related work. Note that SkedPal will avoid these hours as much as possible. However, if a Must-Do task by a certain due date cannot be scheduled without using these yellow or red hours, SkedPal will use these hours to help Jane get them done.
Jane has also created a Time Map for her writing work. This is the budgeted time she likes to allocate to letters, writing documents, responses, and briefs. She’d like to do concentrated work on these tasks for 10 hours a week on Wednesdays and Fridays.
Notice that her Writing Time Map overlaps with Research on several hours during the week. SkedPal will intelligently manage her tasks in both Time Maps. It will make sure that there is a balance between your preferred times, and commitments and due dates for all of your tasks across different Time Maps.
